AGENCY STATEMENT OF LIABILITY
When you book travel with us you agree to these terms and conditions.
I understand that Conference & Travel Services dba Travel Leaders (Travel Leaders) is not the source or supplier of the travel services I have requested, and acts solely as an agent for the actual suppliers of such services. I have been advised that the suppliers whose names appear in the information provided to me are those who are actually responsible for providing the travel services I have purchased. I consent to and request the use of those suppliers and agree not to hold Travel Leaders responsible should any of these suppliers: 1) fail to provide the travel services I have purchased; 2) fail to comply with any applicable law; or 3) engage in any negligent act or omissions that causes me any sort of injury, damage, delay or inconvenience.
I accept that Travel Leaders is not responsible for, nor will I attempt to hold it liable for, any injury, damages or loss I may suffer on account of any conditions, actions or omissions that are beyond its reasonable control.
I understand that Travel Leaders employees have no knowledge, other than what a responsible layperson should know about any terrorist or health risks or other dangers.
I acknowledge that Travel Leaders forwards all my payments to the suppliers and I will not hold Travel Leaders responsible for refunding money to me not in their possession.
REVIEW TRAVEL DOCUMENTS
I will review my travel documents for accuracy upon receipt and understand that I may contact Travel leaders if I have any questions. I understand that discounted fares typically involve restrictions and that changing any aspect of my travel arrangements may result in the payment of additional money.
VENDOR TERMS AND CONDITIONS
Each supplier named on this document has separate Terms and Conditions and cancellation and change policies. In the event my booking includes air travel, the airline’s Condition of Carriage applies.
I understand airline policies regarding baggage fees and restrictions vary based on when my tickets are purchased, my destination and my frequent flyer status. I understand I can contact my booking agent or the airline before my departure for current information.
I understand Baggage fees and seat selection fees are not included in my airfare and are charged at time of check-in or when I select a seat.
SUPPLIER RIGHT TO CHANGE PRICES AND ITINERARIES OR IMPOSE FEES
I understand that the airline tickets or air/tour or cruise I am purchasing are subject to supplemental price increases that may be imposed after the date of purchase. Post-purchase price increases may be applied due to additional costs imposed by a supplier or government. I acknowledge that I may be charged additional sums by suppliers to offset increased fees, fuel surcharges, taxes, fluctuations in foreign exchange markets or any combination thereof. I hereby consent to any post-purchase price increases and understand that Travel Leaders will immediately notify me of such increases and I will be obligated to pay for such increases that are out of the control of Travel Leaders.
Tour and Cruise suppliers retain the right to change itineraries at will. Travel Leaders will not be responsible for such changes outside of its direct control.
ID REQUIRED FOR TRAVEL
I understand that the Transportation Security Administration (TSA) requires me to carry a government issued identification card that is REAL ID compliant in order to board a flight. I have been advised that the name, date of birth and gender that appears on the identification card must exactly match the same such data that is listed on my airline ticket and in my booking records. I acknowledge that my failure to strictly comply with these requirements may result in denied boarding or any undue delay at an airport security checkpoint causing me to miss my flight.
RESPONSIBILITY TO NOTIFY AGENT OF PROBLEMS DURING TRAVEL
I understand that if I am dissatisfied during travel with the purchased services or if the services do not coincide with the travel documents I must first consult directly with the local service representatives immediately. If the local representative for my tour/cruise/hotel/car rental or other supplier cannot or will not assist I understand I need to contact my agent or my tour company/cruise company at the numbers that will be provided to me in my documents. I understand that if I do not address my concerns at the time of travel Travel Leaders has limited ability to obtain supplier concessions after the fact.
CAR RENTAL POLICIES
I have requested a reservation for a car rental. I understand that the rental agency requires a credit card in the name of the renter at time of pick-up and I understand that a debit card does not satisfy this requirement. I understand minimum and maximum age restrictions apply for renters.
AIR PACKAGED WITH CRUISE
If you have purchased air transportation through a cruise line you understand the identity of the carrier, which may include code-share partners, will be assigned and disclosed approximately 30 days prior to sail date. Desired flights and seats may not be available at that time. If traveling with a group, it is not guaranteed that everyone in the group will fly on the same flights.
A deviation fee can be paid a minimum of 60 days prior to sail date which will accommodate any special requests I may have. I understand that if I deviate from normal flight days for my cruise, even if purchased through the Cruise Line I may be responsible for my own personal transfers and baggage handling.
ARRIVING DAY OF SAILING FOR CRUISE
I understand that Travel Leaders has recommended that I arrive at my port of embarkation one day prior to sail date. If I have chosen not to do so, I understand that neither Travel Leaders nor the Suppliers named on my invoice are liable for any flight delays or cancellations which may result in my ship sailing without me. I understand I will be fully liable for any out of pocket expenses that I may incur to join my ship at the next port of call.
HURRICANE SEASON
June through November is hurricane season in the Atlantic Ocean, Caribbean Sea and Gulf of Mexico.
Air carriers, tour and cruise companies may change travel itineraries at will in the event of a tropical storm or hurricane. Travel Leaders shall not be held responsible for schedule changes not under its control.
Insurance must be purchased prior to the naming of a storm to be effective for any claims arising from that storm.
Unless your insurance carries a ‘cancel for any reason’ clause, your policy will not cover you if you cancel or change your travel plans prior to the Airline, Tour Company or Cruise Line advising of a change or cancellation of services or accommodations.
TRAVELERS HEALTH
Travel Leaders recommends that you check the CDC website for current health information anytime you are planning to travel out of the country. The most current notices can be found at http://wwwnc.cdc.gov/travel/notices. You can also get general health information on your destination by visiting http://wwwnc.cdc.gov/travel/destinations/list.
INTERNATIONAL TRAVEL DOCUMENTS REQUIRED
I understand that if traveling internationally (including Canada and Mexico), I must have a valid passport and depending upon my destination and nationality, I may need to obtain one or more visas or be required to have 6 months or more validity remaining on my passport. I understand Travel Leaders provides guidance on the requirements specific to my destination however, I am ultimately responsible for being aware of the rules of the country I am visiting.
RESOURCE FOR INFORMATION ON INTL DOCUMENTS
Passport and visa information may be obtained by visiting the US State Department website at www.travel.state.gov. Non-US passport holders should be sure to contact the embassies of their destination and transit countries to obtain entrance requirements for their nationality.
FOREIGN INDIVIDUAL ENTRY AND EXIT REQUIREMENTS
Each foreign country holds different views of past criminal offenses, whether within or outside of their boundaries. We hold it an invasion of privacy for any employee of our company to make inquiries into any criminal offenses that you may have currently or in your past so we are unable to advise you on such views or laws. If you have a current or past offense of any kind, including misdemeanors, and you are unsure how the country you are traveling to OR THROUGH views that offence, please contact that country directly for entry and exit requirements. Travel Leaders will not be liable for costs associated with inadmissibility to any country once you have purchased a trip. RECOMMENDED FORM OF PAYMENT
Travel Leaders advises the use of a credit card for all purchases as this may offer the opportunity to dispute the charge should a vendor cease operating. Our ability to obtain refunds for cash or check payments is limited in the event a vendor ceases operating.
NON-REFUNDABLE COMPONENTS OF YOUR TRIP
Various components of your trip may be non-refundable. Your Booking receipt for your specific trip will show the vendor policies for such non-refundability. Travel Leaders fees are always non-refundable.
Travel Insurance is available to cover the risk of losing the value of your payments. If you decline to purchase insurance Travel Leaders will not be liable for any payments that are not refunded in the case you cannot travel for any reason.
